An event checklist is a must have if you are planning on organizing a successful event. Event planning involves a myriad of minute details that need to be expedited properly in order for everything to function smoothly.

For instance, if the wine is not properly chilled then the canapes might be a disaster. If the keynote speaker at your event is not given the proper time for his address and the proper equipment, then you might be left red-faced and scrambling to trouble shoot.

Therefore, if you have a business meeting to organise or are tasked with any event planning or every big social your company/family holds, you will need an event checklist to help keep you on track.

Planning: 4-6 Months Ahead of Event:

* Establish event goals and objectives

* Select date

* Identify venue and negotiate details

* Develop Event Master Plan

* Get cost estimates (e.g., room rental, food & beverages, equipment, speaker fees, travel, etc.) and create a budget

* Recruit event committee, event manager or chair and establish sub-committee chairs

* Create and launch publicity plan & brand your event (ensure staff and/or volunteers are identified to manage specific tasks – e.g., media relations, VIP coordination, printed material design & printing coordination, signage, online /social media, etc.)

* Identify and confirm speakers/presenters/entertainers

* Identify and contact sponsors/partners

An event checklist can be as elaborate or as minimal as you wish. However, the more detailed the checklist, the easier your job will be as a planner. Any event has its own intricacies that need to be ironed out.

Most of the time an occasion, while having a social aspect is, essentially, a networking opportunity for people to meet and greet to socialise and in the case of business, work out solutions to various challenges that they are facing.

Businesswise, it can also be an opportunity to help seal deals and to strengthen business ties. Therefore, when organizing an event, you need to really pay attention to every detail especially the equipment used.
